Privacy Policy

CTC exists to make contribution visible. That does not extend to making you visible without your say — or to exposing the people our projects serve. This page explains what we collect, what is public, and what you control.

1Who we are

The CTC Portal is operated by Change the Culture Foundation, based in Tampa, Florida. “CTC” and “CTC Studio” are names we work under; the Foundation is the organization responsible for your information and the one that receives every gift made through the portal.

This policy covers the portal and the sign-in, giving and volunteering flows inside it. Questions go to mitch@ctc.studio.

2What we collect

We collect only what it takes to run projects, account for money and keep people safe.

  • Your account. Your name and email address. If you sign in with Google, Slack or another provider, we receive your name and email from them — not your password, contacts or anything else in that account.
  • Your profile. Anything you or our team add: phone number, city, a short bio or headline, a website and social media handles, and the organizations you are connected to.
  • Participation. Projects you RSVP to, check in at and the hours you give. When you sign a waiver we keep the name you typed and the time you signed.
  • Clearances. Some roles — especially anything involving children — require a background check or other clearance. We record its type, status, who verified it and when it expires, and may keep a copy of the supporting document.
  • Giving. The amount, date and what a gift was directed to. Payments are processed by our donation provider; the portal never receives or stores card or bank details.
  • Things you send us. A problem you submit (with your contact details), a comment you leave on a project (your name, and your email if you give it), and hearts. A heart from someone not signed in is tied only to a random code stored in that browser.
  • People without accounts. Contact details for staff at partner organizations, and the names and emails of guests invited to events, so that there is a door list.

We do not collect your date of birth, home address, government ID numbers, or browsing activity on other sites.

3The people our projects serve

Our partners work with foster youth, hospitalized children and adults with disabilities. We hold ourselves to a stricter rule for them than for anyone else.

  • We do not keep identifying records about them. When a need is tied to a specific person, it uses a code the partner supplies — “resident #47” — never a name, birthdate, school or medical detail.
  • A photo or video is never shown publicly until a member of our team has recorded that its release was verified. For a minor, that means a release from a parent or guardian.
  • When you submit a problem or leave a comment, please do not name the individuals involved.

4How we use it

  • To run projects: staffing, RSVPs, check-in, waivers and follow-up.
  • To keep people safe: confirming that anyone in a role that requires a clearance holds a current one before they are allowed to fill it.
  • To account for money: recording gifts, showing donors where their money went, and reporting to sponsors and partners.
  • To recognize contribution: your gold stars and tier are calculated from what you have given and done.
  • To tell you about things that involve you, inside the portal.

5What is public

Your profile is private unless you choose to make it public. You control this from the privacy settings on your page.

  • With a public profile, you choose whether your social links, gold stars and attendance are shown. Your email is hidden unless you turn it on, and so are your giving amounts.
  • A project’s public page names the people involved only if their profiles are public; everyone else is counted, not named. The same applies to gifts on a project’s public fund ledger, which show as “Anonymous” unless you have chosen to show your giving.
  • Comments on project pages are reviewed before they appear, and show the name you gave — never your email.
  • Project totals — what was raised, what it cost, how many people came — are public, because showing where money goes is the point.

6Who we share it with

We do not sell your information, share it with advertisers, or use it for advertising. We use a small number of service providers to run the portal, each only for the purpose listed:

  • Supabase — database, sign-in, sign-in emails and private file storage.
  • Vercel — hosting.
  • GiveButter — processes donations under its own privacy policy.
  • Google, Slack and other sign-in providers — only if you choose to sign in with them.
  • Anthropic — our staff use AI tools to organize meeting notes and research partner organizations. The text involved is sent to Anthropic for processing and is not used to train its models.
  • Google Calendar — a chapter may sync project dates, titles and locations to its team calendar.
  • Slack or Discord — internal notifications to our team, which can include names, task details and gift amounts.
  • YouTube — videos are embedded in privacy-enhanced mode.

Within CTC, what you can see depends on your role: crew and chapter leads see more of a project than the public does, and clearance documents are visible only to you, your chapter lead and administrators. Every view of a clearance document is logged.

We may also disclose information when the law requires it, or to protect the safety of the people our projects serve.

7Cookies and browser storage

We use a cookie to keep you signed in, and store your light or dark theme preference and the anonymous heart code in your browser. We do not use analytics trackers, advertising cookies or cross-site tracking.

8Security and retention

Files — clearance documents, project media and attachments — are held in private storage and served only after checking who is asking. Access to records is limited by role.

We keep your information while you are involved with CTC. Records of gifts, waivers and clearances may be kept longer where we need them for tax, legal or safety reasons.

9Your choices

You can change what is public at any time from your page. To see a copy of what we hold about you, correct it, or ask us to delete it, email mitch@ctc.studio and we will respond within 30 days.

If you ask us to delete your account, we remove your profile and participation history. We may keep a record of gifts and signed waivers where the law or our obligations to donors require it.

10Children

Portal accounts are for people 18 and older. We do not knowingly create accounts for or collect personal information from children. If you believe a child has created an account, email mitch@ctc.studio and we will remove it.

11Changes to this policy

If we change this policy we will update the date at the top of this page. If a change affects what is public about you, we will tell you in the portal before it takes effect.
